RULES & REGULATIONS OF THE BORNEO TRAIL CLASSIC VIRTUAL RUN 2021 

  • Rules and Regulations stated herein  applicable to the runners of the Event (“runners”), can be found at (REGISTRATION PLATFORM) (the “Official Website”). 
  • By signing up for and providing any information, personal or otherwise, unners are deemed to have given explicit permission for the Organiser and the Sponsors to  use in promoting the event without any liability to the runners, any personal information relating to the runners as may in its sole discretion deem fit, including without any limitation for its programmes, planning, data-processing and statistical or risk-analysis, research, fund-raising and/or any other purposes in furtherance of the functions. 

 

The Organiser and the Sponsors declare by virtue of being the Event owner or sponsor, they can use services of third parties: 

  • For storing data within and outside of Malaysia, whichever one is deemed most reasonable by Organiser;  
  • For development or implementation of programmes, products or services as it may deem necessary; 
  • For outsourcing of any programme(s), event(s), talk(s), demonstration(s) and/or any activities; 
  • For promotional, marketing and/or administrative purposes; 
  • For all purposes as required by law, including without limitation court proceedings, criminal investigations or prosecutions or where so ordered by any competent authority; 
  • Completion of the official entry form, including online registration, confirms the runner’s agreement to abide by these Rules and Regulations and the Privacy Policy. 
  • The Organiser reserves the right to modify or substitute any of these Rules and Regulations and the Privacy Policy from time to time as they deem fit. If there is ambiguity in any of the provisions, the Organiser shall be the authority to interpret and in doing so, the Organiser will take into account the interests of all the affected runners. It is the responsibility of the affected runners to keep abreast of any changes. Please check the Official Website regularly for updated Rules and Regulations and the Privacy Policy. 
  • In consideration of the runners’ use of the Official Website, the runners agree to: 
    • Provide true, accurate, current and complete information contained in any registration form (such information being the “Registration Data”); 
    • Maintain the security of the runners’ identification; and 
    • Maintain and promptly update the Registration Data to keep it true, accurate, current and complete. The Organiser may contact the runners from time to time by email and/or mobile device. Any notice sent to the email address and mobile device registered with the Organiser shall be deemed as received by the runners. If a runner provides any information that is untrue, inaccurate, not current or incomplete, or the Organiser has reasonable grounds to suspect that such information is untrue, inaccurate, not current or incomplete, the Organiser may suspend or terminate the runner’s registration and refuse the runner any and all future use of the Official Website (or any parts thereof). 
  • The Organiser reserves the right to cancel or postpone the Event at any time without prior notice to runners, in which case the Organiser will make effort to inform runners prior to the date of the Event. If the Event has to be cancelled or postponed, there shall be no refund in whole or part unless the Organiser deems fit to give a refund. The Organiser, Sponsors and Affiliates (defined below) shall not be held liable for any loss or inconvenience caused. The “Affiliates” shall include the Event co-organisers, co-sponsors, partners, volunteers, and any entity or person that provided products or services for the Event and Event activities. 
  • There will be strictly no refund available if the Event is cancelled for reasons of “force majeure” i.e., due to occurrence of incidents that are beyond the control of the Organiser or acts of God which render it impossible or unsafe to hold the Event. 
  • The Organiser reserves the right to change the start time or format of the Event. In the event of a change of start time or format, runners will be notified of the revised start time or format with as much notice as reasonably practicable. No refund in whole or part shall be made for any change in start time or format of the Event. 
  • Runners take part solely at their own risk and the Organiser, Sponsors and Affiliates will not be responsible or held liable for any injury, damage, death or other loss howsoever arising from training for, before, during, or after participation in the Event. Runners are strongly encouraged to go for a medical examination and/or consult their medical practitioner prior to registration and before the race day. Runners must accept and understand that they must have the physical fitness suitable for the category that they registered for, by the day of the race. 
  • The Organiser reserves the right to use any photographs (including those of runners), motion pictures, recordings, or any other media records of the Event (including any programme(s), event(s), talk(s), demonstration(s) or any other activities associated before, during or after the Event, for any legitimate purpose including commercial advertising, publicity purposes and distribution to Sponsors anywhere in the world. 
  • The Organiser reserves the right to limit and/or refuse entry to the Event and/or other programme(s), event(s), talk(s), demonstration(s) or any other activities involving the Organiser and the Sponsors without giving any reason and/or notice. 
  • The Organiser will not entertain nor be in any way responsible for any disputes arising from incomplete or inaccurate entry details in the registration form. 
  • The Organiser reserves the right to cancel and/or add any race category without prior notice to runners. 
  • There  is one (1) distance available, i.e., 12kmRunners must be 14 years old or older on Monday, 1 November 2021 to participate in the 12K category. 
  • Runners below the age of 14 are required to obtain their legal parental / guardian consent and complete the relevant indemnity declaration form during registration, failing which, the Organiser reserves the right to refuse entry to that runner. 
  • Runners are strictly prohibited from swapping or transferring their race entry or allowing any other person to run on their behalf. 
  • Registration for the Event is only confirmed upon issuance of a registration ID and E-bib number. 
  • Registration to enter the Event is RM75. 
  • There are no designated race routes for the Event. runners can choose their own route and location. Runners are encouraged to choose a route that is safe and has a strong GPS signal. Runners are advised to follow all applicable laws and government guidelines in their country, state or local government area for COVID-19 and generally use safe pedestrian practices when on the roads. 
  • Runners are required to complete their registered distance anytime and anywhere outdoors in one attempt between 12.00 am, 1 November 2021 and 11.59 pm, 13 November 2021 (GMT+8) (the “Event Period”, “Race Period” or “Running Period”). 
  • There is no official app for the Event. Runners can track their run through any GPS running device or GPS running app. 
  • Runners can take part in the Virtual Race wherever they are, using their own tracking tool.  They will then upload their activities or GPX tracks on the official platform and find their results there. 
  • The Organiser reserves the right to seek further clarification and/or remove a runner’s result if that runner is found not having covered the entire distance or followed the outlined procedure. 
  • This is not an official competition, it is a virtual, individual and fun operation.  Consequently, all runners run under their own responsibility.  Physical activity requires good training and all runners declare that they are healthy and fit for the challenge.  By subscribing to the operation, you expressly agree to participate under your own responsibility.  You expressly agree to release the organization from any and all liability in connection with your athletic activities and you also agree that in no event shall the organization be liable to you or any third party for any direct, indirect, incidental, special or consequential damages arising out of or in any way connected with BTC VR. 
  • Any runner who commences to run before 12.00 am, 1 November 2021 (GMT+8) and after 11.59 pm, 13 November 2021 (GMT+8) will be immediately disqualified. There is no cut-off time for the 12K distance category. However, runners are required to complete the full distance continuously in one attempt or in an accumulative manner within the Event Period and submit their run record within the Record Submission Period (1 – 13 November 2021). 
  • For all runners, any discrepancy in their results, must be conveyed to the Organiser via email at ([email protected]) within 3 days after the official results have been published on the borneotrailclassic.com. No requests for amendment of timing or ranking and follow-ups will be entertained thereafter. 

Finisher t-shirt, medal and a 1/3 of trailfecta will be sent to participants via delivery after the event. Arrival of items delivered may delay due to Covid-19 and may vary depending on participant’s location.

The closing date is 31st October 2021, (GMT +8:00) 11:59pm.  

Apart from Borneo Trail Classic Virtual Run 2021, the other 2 events that you can earn the trifecta medals are:

  • Borneo Trail Classic Trail Series 2022 (Date: To be confirmed)

  • Borneo Trail Classic 2022 (October 15 – 16, 2022)

Registered participants for Borneo Trail Classic Virtual Run 2021 are required to submit their proof of submission here within the Record Submission Period (1 – 13 November 2021). 

Coupon code is only applicable to participants who have registered for BTC 2021 from March 8 2021 – September 10 2021, 5pm. The coupon code is only valid until the 10 October 2021, GMT 8:00 11:59pm.  

Sometimes, things happen, and you’re just not able to make an event that you had planned on. Not to worry, Spartan Race does allow you to defer your unused registration.

Timelines:

  • 90 Days To Transfer Your Registration: You have up until 90 days after the announcement of the postponement (in the case of Borneo Trail Classic – 10 September 2021). The new race does not need to be within 90 days, you just need to transfer by then.

Transfer To A New Person:

    3. Enter recipient email address in Email address field
    4. Enter recipient email address in Confirm email address field
    5. Click Submit 
    • Note: An invitation to claim your registration has been sent to new participant. Your registration remains in your name until the new participant claims it.
    • Note:After the transfer has been completed, you’ll receive an email confirmation for your record

About Borneo Trail Classic

BORNEO TRAIL CLASSIC TERMS & CONDITIONS

1. ENTRY

1.1 By submitting your application you are agreeing to register for Borneo Trail Classic 2021 and to abide by these conditions of entry.

2.EVENT SAFETY

2.1 At all times during the event you must adhere to all instructions given by event marshals, volunteers and officials.
2.2 It is your responsibility to ensure that you have the correct equipment that is in a good safe working order and take weather conditions into account when preparing to take part.
2.3 It is your responsibility that you are sufficiently fit and healthy to participate in the events unaided. If you are in any doubt we recommend that you seek medical advice beforehand.

3. DATA PROTECTION

3.1 You agree that your personal information can be stored and used by the Organisers and their partners in connection with the organisation, staging and administration of events.
3.2 You agree that your name, image and contact details can be used by the Organisers and their partners for the purposes of:-
3.3.1 The promotion and marketing of Borneo Trail Classic 2021 and training;
3.3.2 Adding you to a mailing list to keep you informed about future events.
3.4 The Organisers shall take all necessary steps to ensure that personal information or marketing information pertaining or relating to you which comes into their possession or control shall not be:
3.4.1 Used or reproduced in whole or in part in any form except for the purposes outlined in these conditions.
3.4.2 Disclosed to any person not authorised by you to receive it; or.
3.4.3 Altered, deleted, added to or otherwise interfered with (except where expressly permitted by these conditions).

4. CANCELLATION

4.1 The Organisers may cancel the event if circumstances arise beyond our reasonable control. In such circumstances, we will endeavour to communicate to you in advance.
4.2 In the event of a cancellation the Organisers will have no responsibility for any costs incurred as a result of cancellation.

5. USE OF IMAGE

5.1 Photographs may be taken which capture your participation. You agree to the publication of photographs and broadcasts of your image which accurately depict your participation in Borneo Trail Classic 2021.

6. MEDICAL CONDITIONS

6.1 If you have not exercised before or for some time, you should consult your doctor before taking part in multisports & endurance events.

7. LIABILITY

7.1 In no event shall the Organisers be liable to you, whether for breach of contract, any tortuous act or omission (including negligence) or otherwise, under or in connection with the Agreement for any:-
7.1.1 Loss or damage;
7.1.2 Loss of profit;
7.1.3 Loss of reputation;
7.1.4 Loss of business, revenue or goodwill;
7.1.5 Loss of anticipated savings;
7.1.6 Pledges made on your behalf or by you to charity; or
7.1.7 Consequential or indirect loss, regardless of whether the loss or damage:
(a) Would arise in the ordinary course of events;
(b) is reasonably foreseeable; or
(c) Is in the contemplation of the parties, or otherwise.
7.2 Nothing in this Agreement shall affect the Organisers’ liability for death or personal injury, fraud, or any other liability to the extent it cannot be excluded or limited by law.
7.3 Borneo Trail Classic 2021 strongly advises all participants to hold relevant public liability cover whilst taking part in these events.

8. GENERAL

8.1 The Agreement shall be governed by the Malaysia law, and the parties submit to the exclusive jurisdiction of the Malaysia courts.
8.2 If any provision of the Agreement is invalid or unenforceable, in whole or in part, the validity of the remainder shall not be affected.
8.3 The Agreement does not create, confer or purport to confer any benefit or right enforceable by any person not party to it.
8.4 Participant must inform Borneo Trail Classic 2021 of changes in personal contact/address detail in writing.

REFUND POLICY

We are aware that applicants can be injured in training and may need to withdrawal from a race. However, please understand that costs are incurred by the race organiser from the time of your entry being processed. For instance, facilities, services and goods have to be booked and paid for in advance. As such, there is a no refund in the event of withdrawals or cancellations, regardless of circumstances.

If there is bad weather on the day of the event the race organiser reserves the right to change/substitute/ shorten the course to ensure the event runs safely.

If the event is cancelled by the organiser an alternative date will be put forward and competitors can choose to enter for the new date or have a credit toward a future event.

 

In that scenario, most likely this event would be postponed and when that happens, we will defer your credit for the next date.

About Spartan Trail World Championship

The Spartan Trail World Championship (STWC) is a global championship with multiple stops around the world. Each World Championship race will feature multiple distances. Elite runners will compete for prize money at each event then win points on the leaderboard for the final prize purse payout, and Age Group runners will compete for unique prizes at each event and points for the final leaderboard of their age.

They’re premier events around the globe offering points for the championship leaderboards and increased prize money for the top finishers in the Elite category. For the inaugural season, there will be 10 championship races tagged by labels by different levels. Each race will feature a Trail Ultra Championship distance and a Trail Run Championship distance.

There will be two separate championships held side by side, with a distance for each championship at every event, a Trail Ultra Championship (50k and more) and a Trail Run Championship (up to 49k). A Spartan Trail World Championship season does not stay within a calendar year, the inaugural season will begin in February 2021 and end in February 2022.

The inaugural season of the STWC will feature race labels that will mark the difference of prize money and points delivered of each race. Race labels, colors and icons are:

There will be two separate championships held side by side, with a distance for each championship at every event, a Trail Ultra Championship (50k and more) and a Trail Run Championship (up to 49k). A Spartan Trail World Championship season does not stay within a calendar year, the inaugural season will begin in February 2021 and end in February 2022.

Runners will have the option to choose between participating as an Elite or an Age Group racer. There will be eligibility requirements to participate as an Elite, while everyone can participate in Age Group.

The difference between Elites and Age Groups are prizes and leaderboards. Elites will be eligible for prize money on each individual STWC Halo Event and will rank in a unique, not-divided by age, gender leaderboard that will also have a final Prize purse. Age groups won’t have prize money, but will participate on each individual STWC Halo Event for exclusive prizes and also will have their individual leaderboard for their Age Group, with a final bundle of prizes for the winners of each division at the end of the Championship.

To participate as an Elite on the STWC and any of the Halo Events, you need to apply and be accepted. Please read the requirements and standards below before applying.

A runner that participates as an Elite on a STWC race, will be considered an Elite throughout the whole season and won’t rank on its Age Group leaderboard or awards. Same rule applies to those who choose to race as an Age Group.

If you participate in any of the Halo events as an age group, you will be automatically added to the STWC Age Group leaderboard on your corresponding age. Please make sure all your details are correct and revised once you sign up for the race, as we won’t make changes if there are any mistakes made by the runner.

Each STWC race will have an Elite category separated from the Age Groups. An athlete who chooses to participate as an Elite on any of the STWC races, won’t be allowed to “downgrade” to an Age Group during the rest of the season and will have to participate as an Elite in all the STWC races. Same rules apply for Age Group athletes.

If you don’t match any of these standards, please read the Alternate Standard below.

 

Alternate Standard

For each STWC race, we will review applications that do not meet any of the Standard A or Standard B results and will accept those runners based on the sole discretion of the STWC organizers. If an athlete believes their results match the general competitiveness of the standards above, such as a podium finish at a race with a higher average difficulty level or an FKT where your ITRA points may not accurately match you to the published standard, you may submit an application.

Year count for Applications

  • For season 2021, results from 2018, 2019 and 2020 will count for applications.
  • For season 2022, results from 2019, 2020 and 2021  will count for applications.
  • From season 2023 on, results from the past two years will count for applications (2021, 2022).

Doping Policy

We’re reviewing proposals and alternatives for the application of doping controls on the 2021 Spartan Trail World Championship. They will be communicated as soon as it’s decided.

How does the points system work?

Point system works the same way for both Elite and Age Groups.

Two separate points leaderboards will be tracked, a Trail Ultra Championship Leaderboard, and a Trail Run Championship Leaderboard. Points are not combined between the two leaderboards.

  • Trail Ultra Championship Leaderboard– Only Trail Ultra Championship distances will be counted. 
  • Trail Run Championship Leaderboard– Trail Run Championship Race distances will be counted. 

Points are assigned based on an athlete’s final place and their gender, within their specified STWC category. Every label will have a different top score according to their hierarchy:

  • Crown Label- 1000 Points
  • Blue Label- 800 Points
  • Green Label- 600 Points

Integration with Regular Season Races

Spartan Trail Regular Season (Worldwide) races will be integrated in the STWC leaderboard, using Ultra races (50k) as part of the Trail Ultra leaderboard, and Half Marathon races as part of the Trail Run leaderboards. 10k races will not be counted:

  • Regular Season – 100 Points

Regular Season Elite and Age Group athletes will be counted on the final STWC leaderboard. A maximum of 8 Regular Season races will be counted. If an athlete races more than 8 Regular Season races, the best 8 races will be counted.

Points calculation

Using a Crown Label race as an example, points are calculated using the following formula:

1st Place Gender/Championship Finishers Time (Minutes)/Your Finish Time (Minutes) x 1000 = Total Points Score

Example:

  • 1st Place Gender/Championship Time – 60:00 Minutes
  • Your Time – 72:00 Minutes
  • 60/72 x 1000 = 833 Points

Bonus per position

To reduce the possibility of ties, we will add bonus for the first five position of each division (elite or age group) the following way:

  1. 100 Points
  2. 70 Points
  3. 50 Points
  4. 30 Points
  5. 15 Points

Leaderboard scoring races

Elites

A runner can participate in as many races as wanted, but the four best results will be counted. There will be a minimum of two races of any level to enter the Final Leaderboard, each athlete will be able to create its own strategy to score more points towards the end of the season.

Regular Season points can be counted as a wildcard, in case an athlete has one race missing to point for the final leaderboard.

  • IE: Has participated in only one STWC race, needs a second to qualify to the final leaderboard, uses Regular Season points. 
  • IE: Has two/three STWC races, wants to scale up on the final ranking, uses its Regular Season points.

Age Groups

Age Groups will be divided the following way (Male & Female)

  • Under 29
  • 30-39
  • 40-49
  • 50-59
  • 60+

A runner can participate in as many races as wanted, but the four best results will be counted. To qualify for the final leaderboard, an athlete will have to participate in at least two races.

Regular Season points will be counted as a wildcard, in case an athlete has one race missing to point for the final leaderboard.

  • IE: Has participated in only one STWC race, needs a second to qualify to the final leaderboard, uses Regular Season points.

Tie Rules

If there’s a tie at the final leaderboard in any podium / prize position:

For Elite Athletes, awards will be unified and will be distributed equally as a tie for each athlete.

For Age Group Athletes, the sum of positions on each STWC race will count to untie.

If there’s an athlete (Elite or Age Group) that has the same amount of points in less races, it’ll be considered as the winner towards the tier with more races.

If there’s a double tie (Only Age Group), where both points and positions match, there’ll be a coin toss between the athletes to untie.
